Privacy Policy
In brief: we collect only what we need to run our gatherings, events, coaching and shop. We never sell your information. You choose whether to join our mailing list and can leave at any time. You can ask to see or correct your information whenever you like.
About this policy
This policy explains how The Womanhood Co (ABN 11 864 692 727) ("we", "us") collects, uses, stores and protects your personal information. "You" means anyone who visits our website, joins our mailing list, books or attends a gathering, event or escape, takes part in coaching, or buys from us.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Because our coaching can involve health and wellbeing information, the Act applies to our whole business, and we hold every part of it to the same standard. Our emails comply with the Spam Act 2003 (Cth).
Our services are for adults. We do not knowingly collect personal information from anyone under 18.
What we collect and how
We collect personal information directly from you, and only what we need for the service you have asked for:
Mailing list: your name and email address.
Gatherings, events and escapes: your name, email address and phone number, and an emergency contact for escapes. Payments go through our payment provider; we never see or store your full card details.
Coaching: your name, contact details, payment records and the notes we keep from your sessions.
Shop purchases: your name, contact details, delivery address and order history.
Enquiries, forms and feedback: whatever you choose to include.
Photos: our gatherings are photo-free. At an occasional larger event we may take photos; we tell you beforehand, ask first, and will remove a photo of you on request.
Website use: general information such as pages visited and device or browser type. This does not identify you by name.
We also receive your details when you book through Squarespace or Humanitix, or when a friend books a place for you. We do not buy mailing lists or gather information about you from public sources.
Some information is more personal and is treated with extra care: dietary requirements, allergies, accessibility or health needs you share when booking, and anything about your health or wellbeing you share in coaching or a gathering. We collect this only with your consent and only where it helps us support you. Please share only what you are comfortable sharing.
Why we use your information
We use your personal information to:
manage bookings, payments and attendance;
prepare for and deliver gatherings, events and coaching, including meeting dietary, accessibility or safety needs;
process and deliver shop orders;
respond to your enquiries and feedback;
send our newsletter, where you have agreed to receive it;
improve our offerings and website; and
meet our legal, tax and insurance obligations.
We will not use your information for any other purpose unless you consent, you would reasonably expect it, or the law requires or allows it. We never sell or rent your personal information.
Coaching records are kept separately from booking and mailing list details and are never used for marketing. We publish feedback or testimonials only with your permission and in the form you agree to, such as first name only.
Our mailing list
We add you to our mailing list only if you sign up yourself or clearly agree, for example by ticking a box when you book. Booking a gathering does not add you automatically.
Our emails share news, upcoming gatherings and events, reflections and occasional offers. Every email has an unsubscribe link, or you can email hello@womanhoodco.com and we will remove you within five working days. We may still contact you about a booking or order you have made, as these are service messages rather than marketing.
Coaching and group confidentiality
What you share in one-to-one coaching is confidential. Before coaching begins you receive a coaching agreement explaining how we collect, keep and protect your coaching information and the limited situations where we would need to share it, such as a serious risk to someone's safety.
In group gatherings we ask everyone to keep what others share within the group and not to photograph or record anyone. We encourage this but cannot guarantee how other participants will act.
Who we share your information with
We use a small number of trusted providers to run our business and share only what each needs:
Squarespace — website, newsletter, bookings and online shop;
Humanitix or similar — ticketing for larger events;
Squarespace Payments and Square — payments;
Australia Post or a courier — delivering orders;
our accountant, bookkeeper or insurer, where needed; and
venues, caterers or guest facilitators — limited to what is needed for your safety and comfort, such as attendee names or dietary needs.
We disclose your information to anyone else only with your consent or where the law requires or authorises it, for example to prevent a serious threat to someone's life, health or safety.
Overseas storage. Some providers store data outside Australia. Your information is likely to be held in the United States, where Squarespace, and Square are based. We choose providers that protect information to a standard consistent with the Australian Privacy Principles.
How we store and protect your information
We store your information in password-protected accounts with two-factor authentication where available, using reputable providers. Paper records such as coaching notes or sign-in sheets are kept in a secure location. We take reasonable steps to keep your information accurate and up to date; please tell us if your details change.
We keep personal information only as long as we need it, then securely delete or destroy it:
